  • Monitoring of System Use: We may monitor communications made using our System and reserve the right to moderate, remove, or restrict any content deemed inappropriate.

  • Moral Rights: Any information you send us through our System may be modified by us and, by sending us such information, you waive your moral right to be identified as the author of that information.

  • Privacy: Any personal information sent to us, whether through our System or otherwise (including but not limited to your name and contact details), will be collected, used, and held in accordance with your rights and our obligations under the law.

Membership

  • All of our individual membership packages are paid for on an annual or monthly basis for a twelve-month period.

  • The membership fee may be increased or reduced at any time and at our sole discretion. We will contact you should there be any changes to the membership fee.

  • We reserve the right to reject membership for any reason whatsoever.

  • Membership Benefits: Members will receive:

    • Access to Women Who in Fieldsports webinar sessions;

    • Access to Women Who in Fieldsports talks;

    • Access to the Women Who in Fieldsports Membership Directory;

    • Access to Women Who in Fieldsports resources; and

    • Access to mentoring network

  • Cancellations and Refunds:

    • Members can cancel their recurring subscription at any time during their membership.

    • For the monthly fee, all commitments to pay each of the 12 monthly fees continue until the end of the month.

    • For the annual fee, you will pay up until the end of the month you are cancelling in.

    • Please contact hello@womenwhoworkinfieldsports.co.uk to discuss reimbursement.

    • Refunds, if required, will be considered on a case-by-case basis and only if our business hasn’t fulfilled our obligations.

Events

  • Women Who in Fieldsports will use the information you have provided to keep you informed about events with instructions on how to access and make the most of the event and to advise you of this same event in future years. Where required, we will also share details with third parties who are assisting with the event, for example, we may share your details with an event provider if we will be using a third-party online application to facilitate elements of this event. By registering for this event, you agree to this use of your information.

  • Event Recording: Please be aware that Women Who in Fieldsports may record parts of the event. This may include your image or voice. By registering for the event, you grant Women Who in Fieldsports permission to use any recorded materials containing your image or voice for the purposes of promoting future events or other marketing purposes.

  • Cancellations and Refunds:

    • If an event is canceled due to unforeseen circumstances, such as weather or other events beyond our control, we will contact you and refund any payments made by you.

    • Cancellations by attendees must be made at least 14 days before the event to be eligible for a full refund. Cancellations made less than 14 days before the event may not be eligible for a refund unless there are exceptional circumstances.

    • Requesting Refunds: To request a refund, please contact us at hello@womenwhoworkinfieldsports.co.uk with your event registration details.

User-Generated Content

  • If our Site allows users to upload comments, media, or other forms of content, we reserve the right to moderate, remove, or restrict any content that does not adhere to our policies.

  • By submitting user-generated content to our Site, you grant us the right to use, modify, and distribute the content for purposes including but not limited to marketing, promotion, and site improvement.

  • You remain responsible for the content you submit, and any potential legal consequences from that content.

  • Privacy and Copyright: Do not submit content that infringes on the privacy or intellectual property rights of others. Users should refrain from sharing personally identifiable information of others without consent.

Dispute Resolution

  • If any dispute arises between you and us in relation to our Site or these Terms of Use, it will be resolved through negotiation and mediation where possible. In the event that mediation is not successful, the dispute will be referred to arbitration in accordance with the rules of the London Court of International Arbitration.

This Privacy Policy applies to your use of our Site and to your membership of our organisation. Our Site may contain links or embedded content to or from other websites. We have no control over how your data is collected, stored, or used by other websites and we advise you to check the privacy policies of any such websites before providing any data to them.

The Personal Data We Collect and How We Use It

We may collect, use, store, and transfer different kinds of personal data about you for the purposes which we describe below. We will only use your personal data when the law allows us to.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offenses.

Data We Collect and Purposes We Use It For

When you sign up as a Member, Women Who Work in Fieldsports (WWWF) will obtain your full name, title, email address, contact number, billing address, organisation, job function, job role, your interests, preferences, feedback, survey responses, and marketing communication preferences for customer service purposes.

In particular:

  • At checkout, we will collect your full name, title, organisation, job title, job function, email address, username, and password. This information is used to set up your account for our Site. If you are redirected to an offsite payment gateway, such as Stripe, to complete your payment, we may store this information in a temporary session variable to set up your account when you return to our site.

  • At checkout, we may also collect your billing address and phone number. This information is used to confirm your credit card. The billing address and phone number are saved by our Site to prepopulate the checkout form for future purchases and so we can get in touch with you if needed to discuss your order.

  • At checkout, we may also collect your bank account details, credit card number, expiration date, and security code. This information is passed to our payment gateway to process your purchase. The last 4 digits of your credit card number and the expiration date are saved by our Site to use for reference and to send you an email if your credit card will expire before the next recurring payment.

WWWF will use your personal data to keep you in touch with all the latest events, to administer your registration for and attendance at events, and allow you to get the most out of your membership. We may share your details as a delegate at an event with third parties for legitimate purposes connected to the event.

You can ask us or third parties to stop sending you marketing messages by contacting us at any time.

  • Cookie Policy: We use cookies and similar tracking technologies to improve your experience on our Site. This includes functional cookies that help the Site work, analytical cookies to understand usage patterns, and advertising cookies to personalize content and ads. How Long We Retain Your Data For

We will keep your membership data as long as required to support an active membership and will keep that data up to a maximum of 5 years from the cancellation date of your membership, in case you wish to reactivate your membership in the future.

The duration of the storage of personal data collected through the Stripe payment gateway will be in accordance with Stripe's terms of use and with all relevant tax and other laws in the United Kingdom.

All emails containing your personal data will be deleted no later than 5 years after the subject matter of your email has been resolved.

You may withdraw your consent to us using your personal data at any time and request that we delete it.

If we do collect any personal data, it will be processed and stored securely and for no longer than is necessary in light of the reason(s) for which it was first collected. We will comply with our obligations and safeguard your rights under the Data Protection Laws at all times.

How and Where We Store Your Personal Data

We will only store your personal data within the United Kingdom ("UK"). on UK-located shared servers and will not transfer your personal data outside of the UK without ensuring that the Data Protection Laws are complied with and a similar degree of protection is afforded to it as applies under UK law.

Personal data security is essential to us, and to protect personal data we take appropriate organisational, technical, and security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need to know. They will only process your personal data on our instructions and are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

We share your personal data with Mailchimp.com for marketing purposes, your payment information with Stripe.com to process your membership payments, and tracking data relating to your use of our Site with Google.com. We can access the personal data about you that is held by each of these third-party service providers.

In some circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority.
